Position Overview: The International Crane Foundation is seeking an experienced Talent Acquisition and Employee Administration Specialist. In this pivotal role, you will manage the recruitment and employee onboarding processes to ensure our workforce is both talented and aligned with our mission and values. Responsibilities include overseeing US-based recruiting and new hire setup, conducting administrative orientations, and coordinating program overviews and regular check-ins to introduce new staff to ICF’s mission and culture and to foster ongoing support and engagement.

Essential Duties and Responsibilities:
The position performs these duties on a regular basis. Actual day-to-day assignments may differ.
- Manage the US-based recruiting process, including writing advertisements, posting open positions, reviewing resumes, coordinating and conducting interviews, conducting reference and background checks, and drafting offer letters.
- Issue onboarding paperwork to new employees for completion and processing purposes.
- Set up employees in company HRIS.
- Conduct and/or coordinate with responsible parties for the system set-up for new employes, including but not limited to IT equipment; electronic accounts; adding information to website, SharePoint, etc. as appropriate; and ordering business cards, nametag, etc.
- Provide new employee administrative orientation to introduce staff to ICF mission, culture, structure, and policies. This duty is co-conducted with the HR Generalist.
- Schedule 1-, 4-, and 6-month check-ins with designated team members at time of hire.
- Coordinate program overviews for new hires to foster positive attitudes toward ICF organizational objectives and provide knowledge of different ICF program areas.
Other Duties and Responsibilities:
- Administer employee status changes and annual increases into HRIS.
- Coordinate with Vice President of Global Human Resources to ensure job postings reflect proper wage/salary information.
- Perform annual and ongoing review of job descriptions prior to creating job postings for open positions; update as necessary.
- Lead staff recognition efforts, such as Kudoboards for new hires and staff life events, annual anniversary recognition, etc.
- Secure and maintain employee personnel files and information such as personal data, compensation, benefits, tax data, performance reviews, and hire and termination dates; manage employee files per federal guidelines and ICF policies.
- Participate in and support the planning and hosting of company social gatherings; support impromptu opportunities.
- Coordinate intern program enrichment efforts by identifying opportunities for social and educational engagement (e.g. brown bag events).
- Assist as needed with providing employee relations support to staff.
- Other duties as assigned.
Qualifications:
- Bachelor’s Degree or 5 years of proven experience in the recruitment of staff, including advertising, application screening, and conducting interviews; needs to be able to advise hiring managers on best practices
- Professional Human Resource designation (PHR or SHRM-CP) preferred
- Experience with ADP Workforce Now HRIS preferred
- Not-for-profit experience preferred

- Ability to operate computer and phones.
- Ability to communicate with fellow staff, applicants, stake holders, visitors, and donors. Communication will include one-to-one, small, and large group communication. Communications need to be in English. Communication means both written and oral communication.
- Ability to work at workstation for 5-7 hours a day.
- The ability to attend meetings throughout campus.
- Occasionally required to lift and move items up to 20 pounds.
The work environment includes office work. The office environment is clean and climate controlled.
