Gift Processing Assistant

Position Summary: 

The ICF headquarters in Baraboo, Wisconsin, is renowned as the only place in the world where you can experience all 15 species of the world’s cranes – one of the most endangered families of bird in the world. We are currently looking for a permanent part-time Gift Processing Assistant to join our Development Team. In this role you will support our mission by performing administrative functions, including database and membership maintenance, reporting gift and revenue data, developing mailing lists, and answering Development Department phones. The starting wage for this position will be between $17.50-18.50/hour. You can expect to work around 20 hours per week and will have the opportunity for occasional remote work after initial training is completed. This position is located in Baraboo, WI. 

Essential Duties and Responsibilities: 

  • Enter gift and constituent records in Raiser’s Edge donor database accurately and in a timely manner. 
  • Respond to donor inquiries verbally via phone, and by manual and electronic written communication. 
  • Prepare and mail acknowledgement and tax-deductible letters for all donor gifts. 
  • Prepare and mail member packets for various membership programs. 
  • Update donor records with current information, including name, address, and other constituent information, and ensuring consistent application of donor segment markers. 
  • Collaborate with Finance Department and program staff to ensure accurate gift coding and revenue reporting. 

Additional Duties and Responsibilities: 

  • Create and maintain physical files of gift records and supporting documentation; provide records to Finance and external auditors upon request. 
  • Provide donor lists, profiles, financial records, and other database outputs in support of department activities.   
  • Assist with town runs for bank deposits on an as needed basis. 
  • Assist with Development events on an as needed basis, sometimes involving nights or weekends (typically twice per year). 
  • Other duties as assigned. 

Qualifications Required: 

  • Associate degree or equivalent and at least one year of related experience and/or training; or equivalent combination of education and experience. 
  • Experience using the basic features of word processing software including formatting, tables, mail merge, and other word processing software skills required for this position (Office 365 preferred). 
  • Experience using the basic functions of spreadsheet software including inserting rows and columns; editing cells; cutting and pasting text; formatting text, numbers, and work sheets; sorting; printing; and utilizing other spreadsheet commands as required for this position (Office 365 preferred). 
  • Preserve and maintain the highest degree of confidentiality with poise, tact, and diplomacy. 
  • Experience handling multiple demands simultaneously by organizing, prioritizing competing deadlines to achieve appropriate results, and completing work accurately and timely. 
  • Accurately type 50 words per minute. 
  • Demonstrated experience working as a valued and contributing member of a team. 
  • Detail oriented. 
  • Acceptable valid state driver’s license and acceptable driving record. 
  • Quickly, effectively, and continually adapt to changes in work environment and duties, processes, and technologies. 
  • Demonstrate respect and sensitivity for others; ability to inspire trust; high level of integrity and ethics. 

Preferred Qualifications: 

  • Experience with Raiser’s Edge fundraising software or comparable platform. 
  • Passion for the environment and wildlife conservation.

Physical Abilities: 

  • Ability to operate computer and phones. 
  • Ability to communicate with fellow staff, visitors, and donors. Communication will include both one to one communication, small, and large group communication.  Communications need to be in English.  Communication means both written and oral communication.  
  • Ability to work at workstation for up to 8 hours a day. 
  • Occasionally required to lift and move items up to 20 pounds. 

The work environment is an office setting, clean and climate controlled, with limited noise.
